Kept implementation process

Thank you for choosing Kept as your COBRA provider! Once a broker has added a company through the Kept portal, there are some tasks that need to be completed before a group will be ready to go live. Here's what to expect over the 2 - 4 week implementation period:

Sign the Kept TPA service agreement

Brokers designate a signatory with the group that signs the Kept TPA service agreement via a link in the Kept app. It’s just one form with a few fields, making it easy to kick off the process. 

Portal access and/or file feed

We need a company administrator to give Kept access to your benefits administration portal, which has the information we need – such as employee and dependent demographic and contact information, enrollment data, and rates. For existing integrations, this only takes a few minutes! If we don't have an integration setup for an ongoing data sync, this can take up to 2 additional weeks to build. In these cases, we can implement the group but the data ingestion process will be manual until the sync is complete.

Setup plans & import employee data

Once we have the appropriate access, the Kept team will set up plans and import employee data into the Kept system. If we need any additional information, such as group numbers or SBCs, we will let you know!

Implementation finalized

Once everything has been QA’ed, we’ll finalize the implementation and the group is live! 🎉 You’ll receive an email inviting you to the platform, with some initial information around payment remittanceactive COBRA enrollees, and reporting. Within the first week all employees will receive an email with the initial COBRA notice and inviting them to sign up for electronic communications. 

Post implementation

With Kept, there’s very little COBRA work for our admins to do on a regular basis. Kept will automatically ingest employee data daily and generate electronic notices for employees and send out paper notices when necessary. We’ll run regular audits to ensure employees are enrolled as expected and you’re being billed appropriately. Annually, you’ll get reminder emails to provide benefits renewal information – don’t worry, we can usually pull most of what’s required (rate, plan information, etc) ourselves! 

Once you’re implemented with Kept, we want you to rest assured that we’ve got your off-boarding process covered from here on out.
